CONSTRUCTION OFFICE MANAGER
JOB DESCRIPTION
Part time, leading to full time
The job requires excellent organizational skills, good memory, and attention to detail. The position also requires an assertive approach to performing required functions and an ability to look at what any issues are and initiate systems to deal with the issues, or to improve upon existing systems. Good problem solving skills are required. Office and business background is more important than a construction background. Ability to work independently and quietly. Ability to take proactive role in all of the above.
Ability to work from home 50% of the time would be a plus. Chris would provide computer, phone and internet hook-up. Must live close to job and office area.

Filing
Check and maintain supplies
Answer phone, screen calls when possible, and take messages.
Run errands – pick up payments or small construction items, which fit in a
car (mileage reimbursed)
Clear Chris' desk and organize paperwork on desk.
Synch Palm Pilot schedules computer to computer on daily basis
Check faxes.
Draft correspondence for review and signature.
Review and update daily to do’s & schedules with Chris
Record keeping and
billing
Proficient in Excel and Quickbooks
Review bills and post Quickbooks categories on bills
Take bills to accountant (entered by assistant for accountant?)
Do data entry from Excel to Quickbooks for preparation of estimate vs.
actual reports
Prepare reports in Excel and Quickbooks
Check and update unit materials and services costs on a regular basis
Interface with the accountant as needed to ensure proper posting, etc.
Job Coordination
Review pending and active Contracts to set up the following:
Prepare Job Book to be given to Lead Carpenter
Prepare Client Selection Schedule and Checklist
- Schedule, place and track orders, confirmed with Chris
Prepare Specialty Building Materials (windows, doors, hardware, etc) orders
- Schedule, place, and track orders, confirmed with the lead carpenter in
the field
Review, co-ordinate, and track jobs in Progress to do’s
